Job Description
The Assistant Director of Continuing Education Operations provides operational leadership for the college's Continuing Education (CE) Registration and Accounts Receivable units. This position ensures the accuracy, integrity, and security of Continuing Education academic records; manages Continuing Education registration and enrollment operations; oversees tuition billing and student account processes; and leads a cross-functional team committed to exceptional student service.
Required Qualifications
• Bachelor's degree preferred, or equivalent relevant experience.
• Excellent Microsoft Office skills.
• Must have at least 3 years successful work experience in business, continuing education, accounting, finance, or related area. Demonstrated experience in managing budgets and understanding financial operations.
• Minimum of 2 years supervisory and management experience, preferred.
Preferred Qualifications
• Experience with records, registration, enrollment services or similar
• Demonstrated knowledge of FERPA and higher education compliance
• Experience managing data integrity and student information systems
• Strong attention to detail and excellent communication and customer service skills
• Familiarity with community college operations, policies and student populations
• Experience with billing, payment processing, refunds, collections, and aging report
• Strong analytical and problem-solving skills
• Commitment to a student-centered service model
Physical Demands
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Ability to lift up to 10 lbs. occasionally, open filing cabinets and bend or stand as necessary. Prolonged periods sitting at a desk and working on a computer.
Typical Duties and Responsibilities
1) Hire and supervise all personnel in the CE Registration Office.2) Supervises the CE Accounting Coordinator in daily accounting operations.3) Coordinates the planning, scheduling, and processing of Continuing Education registrations, including the entry of class enrollments, attendance, and grades.4) Establishes record and registration procedures with district staff to maintain accurate and complete registration and class records for Continuing Education.5) Interprets and apply EICC policies and procedures as related to the registration process.6) Provides information to students, instructors, staff and the public concerning registration, college processes, programs and procedures.7) Maintains electronic student data and course files, including transcripts, grades, academic status and registration information.8) Approves the release of student information in accordance with FERPA, and ensures processes are in place to maintain compliance with FERPA regulations.9) Manages the processing of payment for continuing education courses including credit card and third-party billings.10) Compiles enrollment and student distribution data for District reporting and generates operational reports from the registration system, including those needed to approve or cancel contracts.11) Ensures high-quality customer service across all communication channels, enforcing service standards such as first-call resolution and timely responses.12) Oversee and conduct CE program approval processes.13) Attend District Registrar meetings, as appropriate, as the CE representative.14) Engage in ongoing professional development to keep current with EICC programs, services and procedures.15) Serves on college or district committees (Leadership Council, Summer Camp, etc.) as directed.16) Performs other duties as assigned.
